CRM Exit File: What Data You’ll Receive When Canceling Service
If your agency chooses to discontinue service with GloveBoxCRM, we want you to leave with full control of your data. To make that possible, we provide a CRM Exit File—a comprehensive export of your records—packaged into a single .zip folder.
This article explains what’s included in the exit file, how it differs from standard self-exports, and why it’s valuable for agencies transitioning off the CRM.
What’s Included in the CRM Exit File
When you purchase an official Exit File ($1,500 one-time fee), you’ll receive a structured package of .csv files covering all key business data. These files are separated into Commercial and Personal datasets for easy organization.
The Exit File Contains:
- Contacts – CommercialContacts.csv and PersonalContacts.csv
- Policies – CommercialPolicies.csv and PersonalPolicies.csv
- Emails – CommercialEmails.csv and PersonalEmails.csv
- SMS – CommercialSms.csv and PersonalSms.csv
- Notes – CommercialNotes.csv and PersonalNotes.csv
- Tasks – CommercialTasks.csv and PersonalTasks.csv
- Attachments – CommercialAttachments.csv and PersonalAttachments.csv (mappings that show which files belong to which records)
This package ensures you have one clean dataset of all your activity—ready to be archived, imported into another system, or retained for compliance purposes.
Additional Database Info Provided
Beyond the export files themselves, your Exit File also includes:
- Notes history – Linked to each client or policy record
- Task records – Open and completed tasks, tied to accounts
- Email and SMS logs – Full message history
- Attachment mappings – References to files stored and their associations
This provides a complete operational record of your CRM usage, not just surface-level data.
What You Can Self-Export vs. Exit File
GloveBoxCRM allows customers to run reports and export certain data themselves—most often lists of contacts, policies, or basic activity logs. However, these self-service exports are limited in scope and structure.
By contrast, the Exit File is:
- Comprehensive – Includes all communication records (emails, SMS), notes, and tasks
- Organized by line of business – Commercial and Personal files separated
- Standardized – Delivered in universally readable .csv format
- Complete – Includes attachment mappings and relationships between records, which are not available in self-service exports
Why the Exit File Matters
When moving away from GloveBoxCRM, the Exit File ensures your agency doesn’t lose valuable historical data. It preserves the full picture of your client interactions, tasks, and policies—all in a format you can reference or migrate as needed.
For many agencies, this dataset is not just helpful but essential for compliance, reporting, and maintaining continuity during a transition.
In summary:
- Self-service exports provide basic lists and reports.
- The paid Exit File provides a complete archive of all CRM data, communications, and records, neatly packaged for long-term use.
