This guide introduces new users to Better Agency's robust campaign functionality, explaining how to navigate, customize, and manage pre-built campaigns to effectively engage leads and customers through email, SMS, and task automation.

1. Understand Campaign Basics
Better Agency includes over 100 pre-built campaigns designed to help you automate communication and tasks. Campaigns consist of:

  • Emails: Sent from you to prospects or customers.
  • SMS Messages: Texts sent to your contacts.
  • Tasks: Assigned to the contact owner, producer, or team member managing the contact.

These campaigns are grouped into categories such as sales, service, renewals, claims, cross-sells, and more.


2. Navigate the Campaign Library

  • Go to the Campaigns section of the app.
  • Think of this as a library where all campaigns are stored. While you may not need to visit often, this is where you'll review and customize campaigns when getting started.

3. Explore Campaign Phases
Campaigns are organized by phases, each tailored to specific needs:

  • Sales Phase: Includes New Lead Campaigns, Sales Pipeline Campaigns, and Post-Pipeline Campaigns.
  • Service Phase: Features onboarding and service-specific campaigns.
  • Renewal Phase: Designed for proactive customer retention.
  • Cross-Sell Phase: Helps expand customer engagement with additional products.

4. Customize New Lead Campaigns

  • Select a campaign based on your lead source and line of business.
  • Options include using existing templates or starting from scratch.
  • Define the type of communication: email, SMS, or task.
  • Set triggers for each message or task based on timing (e.g., 5 minutes or 1 day after a lead enters the system).

Example: For Facebook leads, you might send a welcome text message 5 minutes after entry, followed by an email the next day.


5. Edit Campaigns to Fit Your Process

  • Use the green pencil icon to edit any campaign.
  • Add new emails, SMS messages, or tasks.
  • Adjust the timing and content to match your agency’s workflow.

Example: Add a “Welcome to the Family” email in your onboarding campaign 1 hour after a policy is won, including important links or instructions for service.


6. Manage Active Campaigns

  • Enable or disable campaigns using the blue toggle switch.
  • Turn off campaigns for specific stages if they’re not applicable.

7. Automatically Pause Campaigns on Response

  • Navigate to Profile > Customizations and enable “Automatically pause campaigns when a reply is received.”
  • This ensures campaigns stop when a contact responds, though use this feature cautiously as it may interrupt valuable sequences.

8. Leverage Built-In Campaigns
Better Agency provides campaigns like:

  • Birthday Campaigns: Send celebratory messages automatically.
  • Win-Back Campaigns: Re-engage lapsed customers selectively.
  • Insolvency Campaigns: Notify clients about carrier changes and help transition policies.

9. Best Practices for Editing Campaigns

  • Focus each message on a single call-to-action (e.g., “Leave a Google review” or “Download our app”).
  • Avoid overloading emails with multiple requests.
  • Regularly review and adjust content to align with your business goals.
