Introducing the GloveBox Book of Business (BoB)!

Officially launching the week of June 24th, GloveBox is thrilled to offer your agency a new way to connect your insurance carriers. With BoB, you can directly integrate with carriers and seamlessly access all policyholder details and documents.

Here's what you need to know to get started with the BoB.
  • What is the Book of Business (BoB)?

    • The Book of Business (BoB) is a first-of-its-kind carrier connection for live data and document streams directly to your agency and policyholders. The GloveBox Book of Business technology allows your agency to live connect the carriers you write with, unlocking a live data and document stream of your entire book of business with that carrier.
    • The Book of Business -
      • Ends manual policy document retrieval from cumbersome carriers portals.
      • Helps with the relentless bombardment of calls, emails and texts from clients looking for documents
      • Seamlessly hosts all data and documents for your agency team within the GloveBox platforms.
      • Updates data and documents in real-time, delivering the most accurate and automated policyholder servicing experience available.
  • How do I access the BoB?

    • You can access the BoB from GloveBoxHQ. When you log into GloveBoxHQ, you'll find a new tab, integrations, on the left-hand side of your screen. Click into "Integrations," and you'll find the option to connect the Book of Business.
  • What do I need to connect to my carrier in GloveBox?

    • For any integrated carriers you'd like to connect with, you'll need to enter your Carrier Agency Pin into GloveBox. Your carrier can provide your agency pin to you if you're not sure what your pin is.
    • To connect, sign in to GloveBoxHQ. Once open, access the 'Integrations' tab within the left-hand navigation bar.
      • Select 'Book of Business.' You'll be met with a screen of available carriers to connect to.
        • Then, select the Carrier and enter your agency code.
        • You'll be prompted to select if you'd like to connect to both Personal, Commercial, or Both. Make your selection.
          • If you select 'Both,' you'll only be prompted to enter your Agency Code one time.
          • If you would like to select a specific 'Policy Division' to connect to, you'll need to exit back to the main 'Integrations' tab and connect one time per policy division.
        • You'll receive a message that reads 'Congratulations - You're Connected!'
      • At this point, the connection has been made and no further action is needed.
  • Can I integrate all of my agency's producers with my carrier?

    • Yes! To add another agent, you'll enter in the specific agent's sub-producer code into GloveBox when you're setting up your carrier integration. If you don't know your agent's sub-producer code, your carrier will be able to provide it to you.
    • Once you add your agent’s sub-producer code into GloveBox, the agent will be mapped between GloveBox and the carrier, which allows them to focus specifically on their policyholder’s information.
    • If your agency has only connected to one policy division, you'll only see the option to enter sub-producer codes for that policy division.
      • If your agency connects both of your policy divisions, you'll have the option to connect your sub-producers across each division.
        • To do so, enter the agent's sub-producer code in both the 'Commercial Producer Code' and 'Personal Producer Code' fields.
    • As a reminder, sub-producer codes are case-sensitive within GloveBox. Please make sure these are accurate prior to attempting to save any changes.
  • Does my agency need to have Elite Agents in GloveBox in order to use the Book of Business?

    • No, agencies can utilize the Book of Business with or without Elite Agents in GloveBox. However, using an Elite Agent in tandem with the Book of Business will create a more optimized workflow for your agency. Having Elite Agents will route your agency’s producers directly to their own platform within GloveBox, allowing them to focus specifically on their policyholders. • What carriers is the Book of Business currently connected to?

    • The Book of Business is currently connected with Acuity. The GloveBox team is in talks with additional carriers for the purpose of adding them to the Book of Business. If you have a carrier you'd like added to the Book of Business, please let us know by submitting this form.
  • What information is pulling over from the carrier into GloveBox?

    • All data pertaining to your policyholders that is currently pulling over from your Agency Management System (AMS) will now pull in from your carrier. This includes things like -
      • First and last name for the insured party
      • Commercial business name
      • Contact phone numbers
      • Contact email addresses
      • Policy types
      • Policy numbers
      • Policy effective dates
      • Policy documents
      • Commercial policy certificates
      • Auto policy driver and vehicle details
  • How can I disconnect from the Book of Business if I need to do so?
    • Within the 'Integrations' tab, you can disconnect by clicking the meatball menu (three dots) in the top right-hand corner of the policy division screen.
      • Within the meatball menu, you'll find the options to 'Sync' or 'Disconnect.'
        • Selecting 'Sync' will prompt the system to pull any updates since the last update was received.
        • Selecting 'Disconnect' will remove the connection to the carrier for the specific policy division.
          • Disconnecting from the Book of Business will not remove policies, documents, or clients.
          • Disconnecting will prevent future syncs to occur with the Carrier and Policy Division, meaning the system will not reflect changes or updates to any policies or documents.
  • What happens to my AMS data once I connect through my carrier?

    • Your data will continue to show up within GloveBox as it always has. Now that your carrier’s information is pulling into GloveBox, the system will use the carrier as the source of truth and it will merge any AMS or manual data under the data pulled in from the carrier. Your AMS will continue to receive data from Ivans.
  • How often is this information pulling from my carrier over to GloveBox?

    • GloveBox will complete an initial pull of your data once your account has been integrated, and will continue to sync data from your carrier each night and pull in any changes. Agencies also have the option to manually sync with their carrier from within GloveBox.
  • Do my policyholders need to connect to the carrier in order to get this information?

    • No, your policyholders don't need to connect to the carrier directly. The carrier data will flow into GloveBox automatically using the BoB integration.
  • How does the BoB tie in with active policyholder monitoring?

    • For integrated carriers, you will no longer need to connect to active policy monitoring. For those not yet integrated, you will continue to use active policy monitoring. To learn more about active policy monitoring, you can check out this article.
  • When I’m connecting to the Book of Business for the first time, do I need to stay on the GloveBoxHQ Integrations tab?

    • No. After choosing to connect, you can continue to use GloveBoxHQ and move between other tabs in the platform while your agency’s data is pulled over from your carrier.
  • When the Book of Business is establishing its initial connection between GloveBox and my carrier, how much time will it take for the connection to complete?

    • Your initial connection between GloveBox and the carrier will be established within 24 hours. At that point, your clients and policies will all have pulled over to GloveBoxHQ.
    • This connection may establish faster, however, this is dependent on the volume of data pulling over from the carrier and your internet connection. For example, if your agency has 1,000 policies, your connection will establish quicker than an agency with 10,000 policies.
  • If my agency has multiple locations, will Acuity connect for all of them?

    • This depends on how your systems are set up. If each location has its own agency code with your carrier, you’ll need to connect to the carrier for each location. If your agency only has one agency code for all locations, you’ll only need to integrate with the carrier one time.
  • After connecting with the carrier, will I be able to invite all of my clients who have new documents and data available in GloveBox?

    • Yes, you can invite these clients manually using GloveBox’s invite feature.
  • Once the carrier is connected, will my policyholders receive notifications that there are new documents in their account?

    • To ensure your policyholders don’t receive an influx of messages regarding documents from the carrier, GloveBox will only send out email notifications for documents that have been manually uploaded by your agency into GloveBox.
  • What should I do if I connected to my carrier through GloveBox and I typed in the wrong agency code?

    • Reach out to the GloveBox success team and we can assist in updating your agency code.
  • Once I’ve connected to my carrier through GloveBox, what happens to all of my policyholder information that was previously pulling through from my AMS?

    • GloveBox will continue to receive the data from your AMS for all carriers that are not connected through the BoB. However, for any BoB-connected carriers, GloveBox will now filter out any clients and policies received from your AMS that have already been received by the carrier.
  • If I use carriers that aren't currently integrated with the Book of Business, how can I get them added?
