Why Inviting Clients is Important

Inviting new policyholders and prospects to GloveBoxHQ is a key step in increasing platform adoption and ensuring clients can access their policies with ease. While customer profiles are typically imported from your management system nightly, manually inviting clients during onboarding offers significant benefits:

  • Encourages immediate engagement while the client is already in setup mode.
  • Improves adoption by explaining GloveBox benefits directly to the client.
  • Reduces future service requests by ensuring clients know how to access their policy documents.

How to Invite a New Client

  1. Navigate to the Clients tab in GloveBoxHQ.
  2. Click the "New Client" button on the right-hand side.
  3. Select the client type (Personal or Commercial).
  4. Enter the client’s full name and email address.
  5. Click "Create" to send an invitation email to the client.

Once invited, the client will appear under the Invited section in the Clients tab. If they accept the invitation, their profile moves to the Verified section, where you can view their preferred communication method and access their GloveBox account.

Adding Policies for Clients and Prospects

After creating a client profile, adding a policy ensures they have everything they need from the start. This is particularly useful for reducing service requests and managing prospects efficiently.

  1. View the client’s profile from the Clients tab.
  2. Click "Add a Policy".
  3. Select the division and billing type.
  4. Choose the policy type (start typing for more options).
  5. Select the carrier (start typing for more options).
  6. Enter the named insured and business name (if applicable).
  7. Input a policy number (or use a placeholder like TBD for prospects).
  8. Modify the effective dates if needed.
  9. Click "Save".

Managing Documents

Once a policy is added, you can toggle between Policy Details and Documents:

  • Upload ID cards, declarations pages, and other essential documents.
  • For prospects, upload quotes and applications to streamline their onboarding.

Benefits of Manual Invites and Profile Setup

Manually inviting and setting up client profiles enhances customer experience by:

  • Encouraging adoption through direct engagement.
  • Ensuring clients have access to critical documents immediately.
  • Reducing future service requests by educating clients on self-service options.

If the same customer is later imported from your management system, their profiles will merge automatically as long as their contact details match.

Taking these steps will improve adoption rates and streamline client interactions.
