Managing Your Client List: ITC Agency Matrix

GloveBox relies on the data within your AMS to pull over into GloveBoxHQ, ClientHub, and the Mobile Apps. Here are instructions for you to set up your reports and ensure your AMS is set up properly for a GloveBox data import.

Below are the instructions to create your Client List report, which is what GloveBox uses to pull in data from the ITC Agency Matrix AMS. 


Step 1: Navigate to Reports within ITC Agency Matrix

Open your AMS. Navigate to the 'Reports' Menu.

  • Under the 'Investigative' section, select the 'Policies in Effect' report. 
  • Once the report opens, select the gear icon within the 'Menu' bar. This will enable you to adjust the columns on the report.

Step 2: Customize the Report Using 'Adjust Column'

You'll want to ensure that your report is populating columns from both the 'Customer' and 'Policy' sections.

  • For the 'Customer' section, add the following columns.
    Customer Last Name Customer Status Customer Type Customer Home
    Customer ID Customer Email 2  - option below Customer City Customer First Name Customer Agent Name
    Customer Office Name Customer Cell Customer Email  
  • For the 'Policy' section, add the following columns. 
    Policy Company Legal Name Policy Entry Type Policy Effective Date
    Policy Transaction Date Policy Company Name Policy Status
    Policy Type Policy Expiration Date  Policy Number
    • When all columns have been added, save the new Report as a Template with a Description: GloveBox Report.

    Step 3: Finalize the Report

    Once the Template has been saved, click back out to the gear icon, which will take you back to the 'Policies in Effect' report.

    • Then, navigate to the 'Report Selection' option. 
      • Set the 'Start Date' to today.

    Step 4: Schedule the Report

    Select the 'Save Report For Future Use of Scheduled Report to Run Automatic' button at the bottom of the page.

    • Save the report as {Agency ID} - {Agency Name} GloveBox Policy Master Report
      • Frequency: Weekly
      • Report Type: CSV
      • Next Run Date: pick tomorrow's date
      • Next Run Hour: 1 AM
      • Report Email: clientlist@gloveboxapp.com
    • Hit the Yellow Floppy Disk button that says 'New' to save this scheduled report.

    Step 5: Send the Initial Report to GloveBox

    The fist time you create the report, you'll need to manually send it to GloveBox.

    • Within ITC Agency Matrix, select the 'CSV' option within the report. Save the downloaded file.
    Then, Email the Report to GloveBox. 
    • Open your email and create a new message. Attach the exported report.
      • Send the email to clientlist@gloveboxapp.com.
      • Use the subject line: [Agency_ID] - [Agency_Name] GloveBox Master Report.
      • Click 'Send.'

    Policy Number Format

    If you open the exported Excel spreadsheet, the policy numbers may convert to scientific notation. Please follow the instructions on this page prior to sending the report to the GloveBox team.
