Managing Your GloveBox Data - FAQs

Ensuring that consumer data is protected and stored securely is crucial to GloveBox. This article shares information on data privacy and security for our independent insurance agency clients and their policyholders.

At GloveBox, our team takes extreme pride in offering a secure process for storing policyholder data that's been provided by our agencies. Our privacy and security teams work vigilantly each day to ensure we maintain and improve upon the highest standards of data security possible. 

Below are commonly asked questions about how GloveBox stores data. 

What types of data relationships exist in GloveBox?

  • GloveBox is a mobile and web application that services independent insurance agencies. However, GloveBox also serves as a free-of-charge mobile and web application that can be used by an insurance consumer across the United States.
    • Because of this structure, there are two types of data relationships that exist:
      • Data sharing between GloveBox and the Policyholder, who is a client of the Independent Insurance Agencies we support. Learn more about our terms of service for policyholders here
      • Data sharing between GloveBox and our clients, the Independent Insurance Agencies. This relationship is predicated on GloveBox clients, who are Independent Insurance Agencies, providing policyholder data under their care, custody and control to GloveBox in conjunction with the terms of the agreed upon license agreement. 

What types of data fall within the above data relationships?

  • GloveBox will address data that is either manually created by an agency or that is provided to GloveBox via a 3rd-party system, like an AMS or CRM. 
  • GloveBox does not currently address data that is manually created by a policyholder or imported from a direct carrier connection, initiated by the policyholder. 

What data is displayed to customers?

  • In GloveBoxHQ, agency staff will be able to view: 
    • Registration Information
      • Customer First and Last Name or Business Name
      • Contact Information, including phone or email
      • Named Insured
    • Insurance Policy Information
      • Carrier
      • Policy Type
      • Billing Type
    • Policy Coverage Information
      • Effective Dates
      • Coverage Limits
      • Subjects of Coverage
    • In GloveBox ClientHub or the Mobile Apps, policyholders will be able to view
      • Registration Information
        • Customer First and Last Name or Business Name
        • Contact Information, including phone or email
        • Named Insured
      • Insurance Policy Information
        • Carrier
        • Policy Type

    What analytics is GloveBox tracking in relation to data?

    • For policyholders using GloveBox ClientHub or the Mobile Apps, GloveBox tracks -
      • Usage analytics
        • Type of device when using the platform (iOS, Android, web)
        • Frequency of use
        • Executed tasks
    • For policyholders using GloveBox ClientHub or the Mobile Apps, GloveBox tracks -
      • Usage analytics
        • Frequency of use
        • Executed tasks

    Do any 3rd parties have access to this data?

    • GloveBox doesn't share collected analytics with any 3rd party vendors that aren’t directly tied to delivering platform performance.
      • For example, our internal staff use Mixpanel to visualize data and track progress on information like agency performance. 
      • We also use softwares to deliver communications to policyholders, which include
      • GloveBox may also socialize policyholder insurance portfolio management with agents under specific instances. 

    What happens to data that was previously shared with GloveBox if an agency cancels their GloveBox service?

    • If GloveBox is no longer a fit for a client who is an independent insurance agency, our teams have a diligent process for the secure removal of all policyholder data.
      • Upon receipt of a cancellation request, a cancellation date will be set. On that date, platforms will be shut down and the process to securely remove all previously shared data will be completed.
        • In order to ensure the removal of this data in the most secure fashion available, GloveBox reserves the right to take additional time, where necessary, to complete due diligence and verify that all data is securely removed. 
    • Policyholders also have the option to request the complete removal of their data from within GloveBox.
      • However, since GloveBox is a 3rd party administrator to the insurance agency, GloveBox cannot remove policyholder data provided by an agency customer. This must be removed at the agency level to adhere to security and privacy standards.

    What security and compliance standards does GloveBox follow?

    • GloveBox adheres to all state and federal laws when it comes to data protection and privacy. All iOS and Android requirements are compliant to consumer data regulations. State-specific guidelines are below. 
      • New York
        • GloveBox is exempt from NY DFS 23 NYCRR 500 under Part 500.19(a) and is not considered a Covered Entity.
        • GloveBox understands that our customers are obligated to conform to a variety of compliance frameworks, and we're committed to supporting these efforts. Our security and privacy teams are happy to assist with any due diligence to ensure compliance needs are met.
