Splitting Sales Opportunities within Better Agency CRM

At times, you may be managing multiple quotes for the same customer in your sales pipeline. This process will share how you can 'Split' opportunities to manage multiple opportunities for the same client.

If your agency is using Better Agency's Legacy Sales Pipeline, follow the instructions below.

Video Walkthrough:

Step-by-step Guidelines:

First, navigate to your sales pipeline and create a new opportunity.

  • Hit the 'Add New Opportunity' button in the top right corner of your screen.
  • Choose an existing contact or create a new one if needed.
  • Select the corresponding policy type for the first policy. In the video example, we selected 'Condo.'
  • Choose your policy owner.
  • Save any changes.

Once you've saved, the opportunity will display on your Sales Pipeline as a 'New Lead.'

Next, move the card forward to the appropriate stage - for example, drag the card from 'New Lead' over to 'Working.' Once you drag the card over, a pop-up window will open that asks if you'd like to start the new campaign sequence for this stage.

  • Select 'Start' to authorize this and enable the campaign for your lead.

Once you've started the campaign, click back into the card. This will give you the option to add another policy, which is how the policies can be split.

  • Select the option to 'add a new policy' and choose the correct policy type from the dropdown.
  • Hit the '+' sign to secure your changes.
  • On each policy, set your term length and the effective date if needed.
  • You can also modify your quote LOB if needed.
  • Once complete, save any changes once again.

Once your client moves forward with one of the quotes, move their card forward to the 'Won' stage on the pipeline.

  • After moving the card forward, click back into it once again. Enter in the additional details for the policy that was 'Won'.
  • Locate the policy that the client did not move forward with. Once located, you can select the trash can icon, which will open a pop-up window prompting you to 'delete opportunity.'
  • When deleting, you can select that you would like to create a new opportunity, along with selecting the correct pipeline stage.
  • Once you've marked the corresponding fields above, select the option to 'create.'

You're all set! Now, you've successfully marked one policy as 'Won' and have a second opportunity to manage for any subsequent policies.

If your agency is using Better Agency's New + Improved Beta Sales Pipeline, follow the instructions below.

Step-by-Step Guidelines:

First, navigate to your sales pipeline and create a new opportunity.

  • Hit the 'Add New Opportunity' button in the top right corner of your screen.
  • Choose an existing contact or create a new one if needed.
  • Add in your 'Line of Business,' 'Carrier,' and 'Effective Date.'  You can leave carrier and effective blank if you don't currently have this information.
  • Select 'Create Opportunity' once your card is created.

The opportunity will drop into your pipeline as a 'New Lead.'

  • Locate the card on your pipeline and click into it.
  • Select the option to 'Add New Quote.'
  • Enter in the relevant policy information for the quote, including 'Line of Business,' 'Carrier,' and 'Effective Date'. Save your changes.

You'll see that the number of quotes you have available for this client on the sales pipeline will increase from 1 to 2.

  • Next, move the card forward to the appropriate stage - for example, drag the card from 'New Lead' over to 'Working.'

  • Once you drag the card over, a pop-up window will open that asks if you'd like to start the new campaign sequence for this stage.

    • Select 'Start' to authorize this and enable the campaign for your lead.
  • Once in the appropriate stage, click back into the opportunity. Select 'Actions' to access a dropdown menu of options.
  • Choose the option to 'Split Opportunity.' Confirm you'd like to split the two quotes.

Once confirmed, a new card for the second opportunity will generate and be placed in the 'New Leads' stage of the pipeline.

Once you've moved your cards to the correct stages, you're all set! You can now manage the two opportunities for the same client in their respective stages on the pipeline.
